Contact – central Warsaw, meetings in Śródmieście

Need an Apostille, document legalisation or a sworn translation in Warsaw? Send a photo through the form – we usually quote within 15 minutes. If you have questions, message or call us, whichever suits you: a person answers, not a bot. We take requests around the clock and reply from 7:00 to 21:00 every day, including weekends and public holidays.

How to hand over and collect a document

For a quote, a photo is enough – attach it in the quote form and the quote arrives by e-mail. WhatsApp and Telegram are for questions, not for sending documents. For a translation, a scan is enough to get started; for an Apostille we need the original from the outset, because the Apostille goes on the original or on a copy issued by the office, never on a photocopy. You get a scan of the finished document straight away, and the document itself by the route you choose.

In person – Warsaw,
City Centre (Śródmieście)

We meet in the very centre of Warsaw, a few steps from Centrum metro station and the Palace of Culture and Science. The exact place and time are agreed when you place the order, usually for the same or the next working day.

Prefer not to come in person? Book any courier company at your own cost, and we’ll agree a pick-up time and place in Śródmieście with you – we’ll pack the document and hand it to your courier.

From another city
or from abroad?

  • Poland – InPost
  • Abroad – DHL Express
  • Ukraine – Nova Poshta

You send us the original, and we send back the finished document: InPost shipping is included on orders from 350 zł (otherwise 30 zł each way), DHL Express costs about 300 zł per shipment, with the exact amount in your quote, and Nova Poshta costs 150 zł. You always get a tracking number.

How an order works – five steps

  1. Photo or scan. Attach it in the quote form. Tell us what the document is for, in which country, and whether the Apostille should go on the original, the translation or both.
  2. Quote. The reply comes by e-mail, usually within 15 minutes: the final price including official fees, the turnaround time and the order of steps, which depends on what the receiving authority requires.
  3. Original. For an Apostille, you hand over the original at a meeting or send it to us. For a translation, a photo is enough, and you show the original when you collect the finished translation.
  4. Payment up front. For an Apostille you pay once the original reaches us; for a translation, after the quote. BLIK, bank transfer or cash at the meeting.
  5. Work and collection. A screenshot from your banking app is enough – from that moment, we’re working on your order. You get a scan of the finished document straight away, and the original in person or by courier.

/ Where

Where in Warsaw to get an Apostille

There is no single counter. Which office the document goes to depends on who signed it – and the MFA and the courts have different hours, different fees and different processing times. Below are the three Warsaw addresses we take our clients’ documents to. The whole procedure is described step by step on the Apostille in Warsaw page.

Ministry

Ministry of Foreign Affairs

ul. Krucza 38/42
00-512 Warszawa
postal address: al. J. Ch. Szucha 23
Visits
Mon–Fri By appointment (e-Konsulat) You book a time slot in the e-Konsulat system and bring a printed confirmation; the first free slots are often a few days away. The MFA does not publish opening hours.
Official fee
60,- zł / document per document · paid before the visit: at a cash desk of the Warsaw City Office (Urząd m.st. Warszawy), at a post office or by bank transfer. There is no cash desk at the MFA.
Processing time
on the day of the visit, up to 10 documents per person; by post, up to 30 days

Which documents go here

  • Civil status record – birth, marriage, death; issued by the registry office (USC)
  • Criminal record certificate – from the National Criminal Register (KRK)
  • Sworn translation – only the original with the translator’s signature; an Apostille will not be issued for a photocopy
  • Company documents – KRS extract with the stamp of the Centralna Informacja KRS; commercial documents are first certified by the Krajowa Izba Gospodarcza (Polish Chamber of Commerce)

Official fees are already included in our prices

The quoted price is final.
Official fees, the MFA booking and the visits to the offices are on us – you pay nothing extra. Doing it yourself means a trip to Warsaw for your booked time slot, and if the fee wasn’t paid in advance or the court certification is missing, the trip can be wasted and you have to come back. With us, you send the document once. You save your time and energy.

Courts

Regional Courts in Warsaw

We file only in Warsaw. A document is certified by the court in whose district the notary’s office is located, or by the court that issued it – a notary from Poznań means the Regional Court in Poznań, not Warsaw. Warsaw has two such courts:

The same in both courts

Official fee
26,- zł / signature per signature, usually one per document · paid before filing: by bank transfer to the account of Urząd m.st. Warszawy or at the cash desk of any district office. It cannot be paid at the court.

Which documents go here

  • Notarial document – power of attorney, notarial deed, notarised copy (e.g. of a contract); from here the document still goes to the MFA for the Apostille (a further 60 zł official fee)
  • Judgment, court decision, certified court copy – judges’ signatures and court seals

The order matters. A notarial document is first certified by the Regional Court and only then goes to the MFA. Filed straight at the ministry, it comes back without an Apostille – and that is a week lost. The right court is the Regional Court in whose district the notary’s office is located: left-bank Warsaw – al. „Solidarności”, right-bank Warsaw – ul. Poligonowa. If the notary is outside Warsaw, you have the signature certified at the Regional Court in your own city (in person or by post), and we take care of the MFA for 260 zł.

Offices change their opening hours, so we check the current hours before every visit. Last checked in September 2026.

Rather not book appointments and trek between offices? Send us a photo of the document – we’ll handle the rest.

/ FAQ

Frequently asked questions Handover, shipping and payment

Do I have to come to Warsaw in person?

No – you can handle the whole thing remotely. For a quote, a scan or a photo in the quote form is enough. You hand over the original at a meeting in central Warsaw or send it from an InPost parcel locker – we give you the locker number in the quote. From abroad you send it with any carrier, and from Ukraine by Nova Poshta; we return the finished document by DHL Express or Nova Poshta.

Can I come to your office?

We don’t run an office with a reception desk – all contact goes through the form, phone and messengers, and we collect documents at an arranged meeting. We meet in Śródmieście, right in the centre of Warsaw, which is easy to reach from any district. That way you pay for the service, not for our premises.

How do I book a meeting to hand over the document?

The easiest way is the calendar higher up this page: pick a working day and a time of day – morning, afternoon or evening – and WhatsApp opens with a ready-made message; we confirm the time in our reply. You can also simply message us or call. Meetings in Śródmieście are usually arranged for the same or the next working day.

How do I send a document for an Apostille via an InPost parcel locker?

The quote includes everything you need to send it: the destination locker number and the recipient’s phone number and e-mail. Put the document in a stiff envelope so it doesn’t get bent. Take a photo of the envelope showing the tracking number and send it to us on WhatsApp, Telegram or by e-mail – from then on we track it together with you. We send the finished document back to the locker of your choice. On orders from 350 zł, shipping both ways is included; on smaller orders it costs 30 zł each way.

How do I send a document from abroad or from Ukraine?

You send the original yourself, with any carrier – we give you the address in the quote. Take a photo of the envelope showing the tracking number and send it to us on WhatsApp, Telegram or by e-mail – from then on we track it together with you. We return the finished document by DHL Express, door to door and signed for, or to Ukraine by Nova Poshta for 150 zł. DHL costs about 300 zł per shipment; the exact amount depends on the region and you know it before you pay, because it is a separate line in the quote. With Documents from Ukraine, shipping both ways is already included in the price. Prefer a different carrier? Book a courier and we’ll agree a pick-up time and place in Śródmieście with you – we’ll hand the parcel over to them. Rates are in the price list.

How and when do I pay?

Up front, before work starts: for a translation once you accept the quote, for an Apostille once the original reaches us. By BLIK, bank transfer or in cash at the meeting. The quoted amount is final: official and court fees are included, and shipping is a separate line (within Poland it is included on orders from 350 zł, DHL abroad costs about 300 zł, and with Documents from Ukraine, Nova Poshta both ways is included). We start work once the payment is confirmed – a screenshot from your banking app is enough.

When do you send the finished document?

We send you a scan of the finished document as soon as we collect it from the office. The original goes out the same working day if it is ready by 15:00, otherwise the next morning. Collection in person is arranged for the nearest convenient time.

Do you work on Saturdays and public holidays?

Yes – we answer the phone and reply to messages every day from 7:00 to 21:00, including weekends and public holidays. The offices – the MFA, courts and registry offices – are closed on those days, so we take requests and prepare quotes, and file the documents on the next working day. The calendar higher up this page shows which days are out.

Which languages can I write in?

English, Polish, Ukrainian or Russian – we reply in the language you write in.

For questions about the offices and the Apostille itself, see the Apostille page; for translations, Sworn Translations; for documents issued in Ukraine, Documents from Ukraine. All our prices are in the price list.
