Sworn translations

Sworn translator in Warsaw – Ukrainian, Russian, English

We translate birth and marriage certificates, driving licences, vehicle documents, diplomas and criminal record certificates – from Ukrainian, Russian and English into Polish, and from Polish into all three. These are sworn translations, so offices, courts and banks accept them throughout Poland. A page costs 90 zł, and your translation is usually ready in 2–4 working days. It’s all done online: upload a photo of the document through the quote form, then collect the translation at a meeting in central Warsaw or from an InPost parcel locker. If you also need an Apostille, we’ll take care of it in the same order.

/ Definition

Sworn translation or an ordinary one?

A sworn translation is what Polish law calls a certified translation (tłumaczenie poświadczone, informally also uwierzytelnione), and only a translator on the Minister of Justice’s register can make one. In the UK or the US almost any translator can “certify” their own work; in Poland only sworn translators can. A sworn translation bears the translator’s seal, an entry number from their official record book (repertorium) and a clause certifying that it is true to the original, which is why offices, courts, banks and universities accept it. You need one whenever a document is to have legal effect: a residence card, a wedding, transcription of a foreign civil record, a court case, a loan or diploma recognition (nostrification). The translator describes everything they see – seals, signatures, watermarks, crossed-out text – and states whether they worked from the original or from a copy. A page (1,125 characters with spaces) costs 90 zł, and the translation is usually ready within 2–4 working days.

An ordinary translation carries the seal of a regular translator, not a sworn one, so Polish offices, courts and registry offices (USC) won’t accept it. It is, however, usually enough for a visa application, correspondence, a CV or a website. It costs 80 zł per page – here a page is 1,800 characters with spaces – and the turnaround is the same: usually 2–4 working days. For longer texts it works out at just over half the price of a sworn translation; for a short document the difference is small.

Which one do you need? Offices, courts, banks and universities accept only sworn translations. Elsewhere – for a visa, say, or an employer – requirements vary, so before you order, ask the institution you’re submitting the document to which type of translation they require. We do both.

From the original or from a copy? A good scan or photo is enough for the quote and for the translator to work from. If the office requires a translation “from the original”, you show the original at a meeting or send it via an InPost parcel locker for inspection – the translator compares it with the scan and adds the appropriate certification, and the document comes back to you together with the translation. Without the original, the translation is marked “from a copy”, which some offices accept and some don’t.

/ Who it’s for

Document translations for offices, courts and banks

Every recipient has its own requirements: the foreigners’ department checks that the set is complete, the registry office (USC) looks at the certification wording, ZUS at the table layout. We prepare each translation to meet the specific office’s requirements so it doesn’t get sent back for corrections.

Voivodeship Office

A complete set of translations for residence matters at the Masovian Voivodeship Office (Mazowiecki Urząd Wojewódzki) – residence card (karta pobytu), permanent residence, citizenship. Civil status records, children’s and spouse’s documents, employment contracts, employment and income certificates, criminal record certificates, housing documents, diplomas and qualifications. Standard turnaround 2–4 working days; next-working-day express by arrangement.

Civil Registry Office (USC)

Translations that meet the registrar’s requirements for transcribing a foreign civil record. Birth, marriage and death certificates, certificates of no impediment to marriage (capacity to marry), foreign records for transcription (formerly known as umiejscowienie), divorce judgments. Whether a record needs an Apostille is up to the USC – check with them, and we’ll handle whichever option they need.

ZUS and tax office

Documents for establishing length of service, initial capital and benefits, and for tax returns: employment certificates, certificates of length of service and earnings, equivalents of the ERP-7 form, retirement and disability pension decisions from abroad, tax residence certificates. We mirror the layout of the original’s tables and seals so the official can easily compare the translation with the document.

Consulates

Documents for visa, passport and citizenship matters, prepared to the specific consulate’s requirements: invitations and proof of accommodation, powers of attorney and declarations, parental consent for a child to travel abroad. On request we also obtain the MFA Apostille for documents to be used abroad. For the visa itself an ordinary translation is usually enough – 80 zł per 1,800 characters.

Banks and leasing

Translations for loan and leasing applications and business banking, accepted by banks operating in Poland: employment and income certificates, employment contracts, civil-law and B2B contracts, bank statements, company registration documents – KRS and CEIDG extracts, articles of association, powers of attorney. 10% off orders of 6 pages or more. VAT invoice on request.

Universities and schools

Documents for admission, recognition of qualifications and nostrification: university diplomas and diploma supplements, school and school-leaving certificates, transcripts, study programmes and syllabuses, certificates of enrolment. With an Apostille too, if the university requires one: for documents from Ukraine we obtain it through a partner in Ukraine, while diplomas from other countries get their Apostille in the country of issue.

/ Price and timing

How much is a sworn translation?

A page of sworn translation from Ukrainian, Russian or English into Polish – or from Polish into any of them – costs 90 zł. This is a standard page of 1,125 characters with spaces in the finished translation, as laid down in the Minister of Justice’s regulation. Any part of a page counts as a full page. A standard birth or marriage certificate from Ukraine or Belarus and a plastic driving licence from Ukraine, Belarus or Russia come to one page each; if the certificate has an Apostille, it’s two pages, because we translate the Apostille too. We give the exact page count once we’ve seen the document, before you order. See how many pages typical documents run to.

Standard turnaround is 2–4 working days from payment confirmation. A certificate or driving licence (1 page) is usually ready the next working day, with a scan the same day. Next-working-day express is available by arrangement, depending on the language and volume. Switch on “Urgent” in the form and we’ll include the express price in the quote. We send a scan of the finished translation right away; you collect the sealed original at a meeting or receive it via an InPost parcel locker – shipping is included on orders of 350 zł or more, otherwise it costs 30 zł one way.

  • Sworn translation – Ukrainian, Russian, English90,- zł / page
  • From 6 pages in one order10% off

The 90 zł page rate applies to Ukrainian, Russian and English. The number of pages depends on the document and the direction of translation, so we give the price for your document in the quote, usually within 15 minutes. An ordinary translation costs 80 zł per 1,800 characters, and other languages are quoted separately. All our rates are in the translation price list.

Birth certificate, driving licence – pages and price

A sworn translation of a standard birth or marriage certificate from Ukraine or Belarus is one page – that’s 90 zł. The same goes for a plastic driving licence from Ukraine, Belarus or Russia – when you exchange it for a Polish one, for example – and for a student certificate. A page is 1,125 characters with spaces in the finished translation, including the description of seals and signatures. The page count depends on the document and the direction of translation: the same certificate may come out longer from Polish or English than from Ukrainian. We know the exact count in advance for only a handful of documents; for everything else, we give you the number of pages and the price once we’ve seen a photo, before you commit to anything.

Prices in the table are for Ukrainian, Russian and English. Vehicle documents from Germany, France or the Netherlands are translated by our partner sworn translators, and we quote the price separately for each language. A set for a residence card or the registry office (USC) usually means several documents, so you can upload photos of all of them in a single quote form.

/ FAQ

Frequently asked questions Sworn translations

Will a Polish office accept your translation?

Yes – in Poland a sworn translation has official status: it is accepted by voivodeship offices, registry offices (USC), ZUS, courts, banks and universities across the country. Our translations are made by translators on the Minister of Justice’s register. We prepare them to meet the specific office’s requirements so they don’t get sent back for corrections.

What if the office finds a mistake in the translation?

We’ll correct it free of charge. If the office points out an error on our part – in a surname, a date or a document number, for example – we’ll issue a corrected translation.

What is the difference between a sworn and an ordinary translation?

A sworn translation carries the seal and signature of a translator on the Minister of Justice’s register, which is why offices, courts, banks and universities accept it. It costs 90 zł per page of 1,125 characters with spaces. An ordinary translation has a seal too, but it’s a regular translator’s seal, not a sworn translator’s – it’s enough for correspondence, a CV and often a visa application, and costs 80 zł per page of 1,800 characters. If you’re not sure which one you need, ask the institution you’re submitting the document to.

How is a sworn translation page counted?

A standard page is 1,125 characters with spaces, counted in the finished translation, not in the original. Any part of a page counts as a full page. Descriptions of seals, signatures and annotations, as well as the translator’s notes, count as text too, which is why a certificate with several seals can run longer than it looks. We tell you the page count before you order.

How long does a sworn translation take?

Standard turnaround is 2–4 working days from payment confirmation. A certificate or driving licence (1 page) is usually ready the next working day, with a scan the same day. Next-working-day express is available by arrangement, depending on the language and volume. If the document also needs an Apostille, add 1–3 working days for the MFA. Getting an Apostille for documents from Ukraine takes longer: usually 10–14 days for certificates issued after 2016; for those issued before 2016 a duplicate has to be obtained first, so 5–6 weeks in total. For a certificate issued in 2016, it depends on the type of form – we’ll tell you which option applies once we’ve seen a photo.

Which languages do you offer sworn translations in?

Most often Ukrainian, Russian and English – both ways, from and into Polish. German, Spanish, Italian, Dutch and French are handled by our partner sworn translators. Other languages are available by arrangement – just ask.

Do I need to provide the original document?

A legible scan or photo is enough for the quote and the translation. The original is needed when the office requires a translation “from the original” – then you show it at a meeting or send it via an InPost parcel locker for inspection. The translator compares it with the scan and adds the appropriate certification, and the original you sent comes back to you together with the translation. The original is also essential if the document needs an Apostille.

Is a translation made abroad valid in Poland?

Usually not. Polish offices accept translations made by a sworn translator on the Polish register or certified by a Polish consul. A notarised translation from Ukraine or a “certified” translation from the UK has to be redone in Poland, because a Polish office won’t accept it.

Can I order a sworn translation online?

Yes. You upload a photo or scan of the document through the quote form, get the price and turnaround by e-mail, usually within 15 minutes, and pay only after accepting the quote, before translation starts – by BLIK or bank transfer. You collect the finished translation at a meeting in central Warsaw or from an InPost parcel locker in any city. If the recipient accepts an electronic version, we can prepare a PDF with the translator’s qualified electronic signature on request – though not in every language.

Can a sworn translation be electronic?

Yes. We can prepare the translation as a PDF with the translator’s qualified electronic signature on request – though not in every language, so please mention it in the form. Some offices and institutions accept such a file online, but you can’t get an Apostille on it, and not every counter will take it. If you’re not sure what the recipient will accept, order the paper version – you’ll get the scan right away anyway.

Can I get an Apostille on a translation?

Yes. In that case the MFA certifies the sworn translator’s signature. An Apostille is useful when a Polish translation is going abroad and the recipient asks for one. The MFA issues an Apostille only on the paper original of the translation, with the translator’s handwritten signature and seal – not on a scan. The order depends on who will receive the document: most often it’s an Apostille on the document first, then the translation, and finally an Apostille on the translation – this is what Italy and Spain, for example, usually require. Sometimes an Apostille on the translation alone is enough. Check the requirements with the institution you’re submitting the document to – we explain the options for an Apostille with a sworn translation on a separate page.

Can I have several documents translated at once?

Yes – that’s the most common case: a set for a residence card or the registry office (USC) usually includes several documents. Orders of 6 pages or more get 10% off the translation, and pages of both sworn and ordinary translations count towards the total. We file all documents that need an Apostille at the MFA in one go.

Does a sworn translation expire?

No. A translation is valid for as long as the document it was made from. Some documents do go out of date, though – an office may, for example, ask for a criminal record certificate issued within the last few months. In that case we translate the new document; the translation itself never needs “renewing”.

Does the translator have to be from Warsaw?

No. A translation certified by a sworn translator on the Minister of Justice’s register is valid throughout Poland – an office in Kraków will accept it just as one in Warsaw would. That’s why we handle orders remotely and send the finished translation by InPost parcel locker anywhere in Poland.

Does the Apostille itself need to be translated?

Yes. The Apostille certificate is part of the document, so we translate it together with the document – this applies, for example, to documents from Ukraine. Its text counts towards the page total: a standard birth or marriage certificate from Ukraine or Belarus is 1 page, and with an Apostille it’s 2 pages, or 180 zł. For other documents we give the page count, Apostille included, in the quote.

For questions about the Apostille and offices, see the Apostille in Warsaw page; for collection, shipping and payment, see the contact page.
