/ Documents
Which document do you have?
Each document comes with the price of its Apostille or translation – final, official fees included. Not sure which one is yours? Send a photo and we’ll tell you in the quote.
Birth, marriage or death certificate
260,- złThe MFA issues the Apostille on a paper copy from a Polish registry office (USC) – full, abridged or multilingual, but never on a photocopy. Getting married abroad? An Apostille on a copy of your birth certificate and on a certificate of capacity to marry or of marital status costs 520 zł with us for the two.
Apostille for civil status recordsPower of attorney and notarial deed
380,- złA notary’s signature is first certified by the Regional Court for the place where the notary’s office is, and then the MFA issues the Apostille. If the notary is from Warsaw or the surrounding area, we handle both offices – usually within 3–5 working days. If the notary is from another city, you deal with the court locally and we get the Apostille at the MFA for 260 zł. A consent for a child to travel, a divorce judgment and an inheritance decision follow the same route.
Apostille via the Regional Court and the MFACompany and other documents
260,- zł or 380,- złWhether a document goes straight to the MFA or to the Regional Court first depends on the signature, not the content – we’ll check it from a photo. A document signed by an official, such as a paper KRS extract or a criminal record certificate you already have, goes straight to the MFA and costs 260 zł with us. Articles of association, a resolution or a power of attorney from a notary go through the court – 380 zł in total. For countries outside the convention, such as the UAE or Egypt, we arrange legalisation at the MFA for the price of an Apostille, and you then go to the consulate yourself. A printout of an electronic document won’t get an Apostille.
Apostille in WarsawSworn translation
90,- zł / pageWe translate from English, Ukrainian and Russian into Polish and from Polish, usually within 2–4 working days. A standard birth certificate from Ukraine without an Apostille or a Ukrainian plastic driving licence is one page, i.e. 90 zł; such a document is usually ready the next working day.
Sworn translator in WarsawThere’s also a separate page: English–Polish sworn translation.
Apostille for documents from Ukraine – without leaving Poland
We get the Apostille on a Ukrainian civil status record, diploma or school certificate in Ukraine through our partner, so you don’t need to travel there. A sworn translation into Polish, if you need one, is done afterwards in Warsaw and priced separately – 90 zł per page.
Apostille for documents from UkraineCivil status record issued after 2016usually 10–14 days550,- zł
Diploma or school certificateusually 10–14 days; the supplement with grades is a separate document with its own Apostille550,- zł
Record issued before 2016follows a different route – it is described on the page about documents from Ukraine
Can’t find your case here? Describe it in the quote form: what the document is, where it is going and when you need it. Whether it needs an Apostille, a translation or both – ask the institution that will receive the document and tell us which option it is.
/ Apostille and translation
Apostille and sworn translation in one order
The whole order gets one quote, one payment and one turnaround time. The sequence is set by the institution that will receive the document: most often it is an Apostille on the original, then the translation, and finally an Apostille on the translation, as in Italy and Spain.
Apostille or translation – which comes first?
A Polish document with a translation, for use abroad
This is what the order looks like when the institution in the destination country asks for an Apostille on the translation as well. The 90 zł per page rate applies to English, Ukrainian and Russian; for other languages we give the translation price in the quote.

Can you get an Apostille for documents from Ukraine?
Yes, and you don't have to leave Poland: an Apostille on a civil status record issued after 2016, a diploma or a school certificate costs 550 zł. A record issued before 2016 follows a different route – it is described on the page about documents from Ukraine. Scenarios, timelines and FAQ.
How long does an Apostille take in Warsaw?
Usually 1–3 working days at the MFA, and with the express service we file the document the same day, provided we have the original and proof of payment by 11:00. Notarial and court documents first go through the Regional Court, which takes at least two working days. More about timelines.
Do I have to come in person?
No. A photo is enough for a quote, and you hand over the original at a meeting in central Warsaw or send it via an InPost parcel locker. Handover and shipping.
Can I order several documents at once?
Yes, that is the most common case. Each document costs what the price list says, but the whole order gets one quote, one payment and one deadline. For 6 or more pages in one order we give 10% off translations, both sworn and ordinary.
Questions about the Apostille itself and the offices are answered on the Apostille page, questions about translations on the Sworn Translations page, and questions about handover, shipping and payment on the contact page.

§1 General provisions. These Terms set out the rules for intermediary services in obtaining Apostille, document legalisation and sworn translations provided by Olga Stupnicka, trading as Apostilo, ul. Palmowa 17A/31, 04-684 Warszawa, NIP 9522291225 (hereinafter: Apostilo). The Polish version of these Terms is legally binding.
§2 Conclusion of the contract. The contract is concluded when the Client accepts the quote provided – in writing, by e-mail or via a messaging app (WhatsApp, Telegram).
§3 Performance and deadlines. Deadlines given in the quote are estimates and depend on the working hours of the offices. The Client is informed promptly of any delay beyond Apostilo's control.
§4 Prices and payment. Prices on the site are final prices per unit of service and include official fees. The individual quote, which lists each item of the order separately – Apostille, translation, shipping – is binding. The price changes only if the document turns out to differ from the photo sent; the Client is informed of this before the order is accepted for processing. Payment in advance, before work starts: for an Apostille once the original reaches Apostilo, for a translation once the quote is accepted – by BLIK, bank transfer or cash, based on the quote. The order is processed once payment confirmation is received.
§5 Liability. Apostilo is responsible for handling the case with due care. It is not liable for how long public offices take to process documents or for delays by postal operators. If an office refuses to issue an Apostille for a Polish document, Apostilo refunds the Client's entire payment, including the official fee. For documents from Ukraine, if the archive or office there refuses, the prepayment is refunded less the shipping cost. Translation errors that are Apostilo's fault – for example in a name, a date or a document number – are corrected free of charge, including when an office points them out.
§6 Withdrawal. A consumer may withdraw from the contract within 14 days. By paying for the order and sending confirmation of payment, the Client accepts the terms of the order and asks for work to begin before that period expires. If the Client withdraws while work is under way, they pay for the part already performed and we refund the remainder. The right of withdrawal does not apply if the service has been fully performed with the Client's express consent before that period expires.
§7 Complaints. Complaints can be sent to apostilo.pl [at] gmail.com. We consider them within 14 working days of receipt.
